Build a useful photo record
Provide one full kitchen view, numbered damage photos with scale and material information if available. Distinguish an existing repair from new damage. Include whether the request is for one defect or all visible damage in the kitchen.
Explain authority and timing
Name the party approving the quote, the billing contact and the occupant who can provide entry. State handover dates without treating them as confirmed repair appointments. Access and availability need to be agreed first.
Record the result expectation
Cracks and porcelain repairs remain visible. Do not turn a cosmetic repair quote into a promise of a new finish or an opinion on liability. Share the accepted scope and care instructions with all relevant parties.
Keep the scope traceable
Use the same numbered damage list in the enquiry and acceptance. If additional chips are found, update the photographs and ask for the quotation to identify them. That reduces confusion about what was included, particularly when the owner, occupant and property manager cannot all be present for the appointment.
Plan completion information
Agree who receives the care instructions and any completion photos. Avoid scheduling cleaners or a new occupant to use the surface before the advised time. If a proposed repair cannot achieve the requested result, have that limitation recorded before approval rather than leaving the discussion until the end of the job.
